Prodeman is one of the most prominent agro-industrial companies in Argentina and one of the world’s leading peanut exporters. With operations across multiple agricultural regions in the country, exports reaching more than 40 international markets, and a strong commitment to innovation and traceability, the company has established itself as a strategic player within Argentina’s agro-export industry.

As part of its technological evolution, Prodeman identified the need to digitally transform its farmland leasing process, a critical operational workflow that relied on manual procedures, multiple communication channels, and limited traceability.

Challenge

Prodeman’s lease management process involved several friction points that impacted both internal efficiency and the experience of external stakeholders.

Disorganized document management

Contracts and documents were exchanged via email or WhatsApp, with no traceability or centralized control.

Difficulty for third parties to upload information

Landowners did not have a clear and guided way to upload their documentation into the system.

No visibility into contract status

There was no unified platform to track the progress of each contractual process.

Limited information for decision-making

No reports were generated regarding hectares, timelines, or pricing.

Poor approval traceability

There was no visibility into which stage each contract was in or who needed to intervene at each step.

No integrated budget control

Budget tracking was managed outside the system through disconnected Excel spreadsheets.

The solution: A custom lease management module

Together with Exomindset, Prodeman carried out a Discovery phase that enabled a deep understanding of the company’s processes, systems, and business needs. Based on this assessment, a centralized lease management module was designed and developed with the following capabilities:

  • Visit registration with approval workflows by status (Stage 1, Stage 2, Stage 3), intelligent validations, and pending task tracking.
  • Centralized annual budget management by region and crop type, including automatic discounts and reimbursements based on reservations and status changes.
  • Administrative module with a simplified interface for approved records, document request and validation, as well as contract generation and preview.
  • Historical records and files by client and/or plot, including storage of historical documentation and active and past contracts.
  • Dedicated portal for suppliers and surveyors, allowing them to track contract status and view active, past, and ongoing negotiations.
  • Automatic notifications for critical workflow events.
  • User and role management system, along with new On Premise/Cloud infrastructure featuring IAM (Keycloak) and SSO.

The process also included an assessment of SAP HANA integration requirements and the definition of a complete User Journey covering the roles of Engineer, Supervisor, Administration, Supplier, and Surveyor.

The new platform will enable Prodeman to achieve:

Lease process automation Elimination of manual steps and duplicated tasks throughout the contracting workflow.
Full traceability Real-time visibility into the status of each contract, from the initial field visit to the final signature.
Dynamic budget control Centralized annual budget management by region and crop type, with automatic discounts and reimbursements based on reservations and status changes.
Supplier and surveyor portal A dedicated interface for third parties to upload documentation and track contracts without relying on informal communication channels.
Robust and scalable infrastructure A new On Premise/Cloud architecture with IAM (Keycloak) and SSO, designed to scale alongside the business.
